Jenergie privacy notice

Your information and your choices.

Client consultation and treatment records

This is the Jenergie Privacy Notice referred to in your consultation form.

Who looks after your information

Jennifer Meadows, trading as Jenergie, is the data controller responsible for your client information. Jenergie is based in Higham Ferrers, North Northamptonshire. For privacy questions, corrections or requests to exercise your data protection rights, contact Jen@jenergie.co.uk or call 07547 254349.

What we collect and why

We collect the contact details, date of birth, occupation, lifestyle and health information, treatment goals, emergency-contact details, consent declarations and signature you provide. We also keep relevant consultation and treatment records. We use this information to arrange appointments, assess treatment suitability, adapt treatment and maintain a record of your care. Please make sure your emergency contact knows you have supplied their details; we use them only when needed in an emergency.

Our legal bases

We use information necessary to arrange and deliver your requested services under Article 6(1)(b) of the UK GDPR. We rely on your explicit consent under Article 9(2)(a) to use health information for assessment and treatment. Our legitimate interests under Article 6(1)(f) include maintaining appropriate records and dealing with complaints or legal claims; health information is retained or used for legal claims only where Article 9(2)(f) applies. A legal obligation may also require particular information to be retained or disclosed. We do not use this consultation form to enrol you in marketing.

Where information is kept and shared

The former Tally forms are no longer linked from this website. Existing Tally responses may still be retained as part of client records under the retention policy in this notice. Removing the website links does not delete those records. We use Proton Drive for cloud record storage. Proton Drive encrypts file contents and file names end to end and stores encrypted data on servers in Switzerland, Germany or Norway. These services process information on our behalf. Transfers from the UK to the EEA and Switzerland are covered by current UK adequacy regulations. Where necessary and lawful, relevant information may also be shared with an insurer, legal adviser, emergency service or authority. We do not sell client information. You can ask us for information about the providers or international-transfer safeguards that apply to your records.

How long we keep records

Our normal retention period is eight years after your last treatment. If you complete a consultation but do not receive treatment, we count from your last consultation. A specific legal obligation or ongoing claim may require longer retention. Records are then securely deleted, including copies under our control, subject to the providers' backup-deletion cycles.

Your choices and rights

You can withdraw consent to health-data processing by telling your therapist or emailing Jen@jenergie.co.uk. This does not affect earlier lawful use. Without information needed to assess suitability, we may be unable to provide treatment safely. Withdrawal does not automatically require deletion of records that have a separate lawful retention basis.

Requests and complaints

You can ask to access or correct your information and, where applicable, request deletion, restriction or a portable copy. You have the right to object to processing based on legitimate interests. Contact Jen@jenergie.co.uk to exercise these rights or raise a concern. You can also complain to the Information Commissioner's Office at ico.org.uk/make-a-complaint/.

Treatment decisions and copies of this notice

Treatment decisions are made by your therapist, not solely by an automated system. Please read this notice before completing the form. You can request a copy by email.

Website enquiries, analytics and cookies

The following additional information applies when you use this website.

Who is responsible for your information

Jennifer Meadows, trading as Jenergie, is the data controller responsible for personal information used in connection with this website and its services. Jenergie is a sports massage business based in Higham Ferrers, North Northamptonshire. If you have a privacy question, want to exercise a data protection right or want information corrected, email Jen@jenergie.co.uk or call 07547 254349.

Information you choose to provide

The website links to Fresha for online booking. You can contact Jenergie directly by email or phone. The former Tally enquiry form is no longer embedded or linked on this website. Please do not include detailed medical or health information in a general enquiry. The website does not create customer accounts. You can also contact us by email or phone. An enquiry may include your name, contact details, availability and information about what you would like help with. Jenergie uses this information to reply, discuss whether a service is suitable, arrange an appointment and keep appropriate records relating to the service you request. Please do not send information that is not needed for your enquiry.

Analytics and cookies

Jenergie uses Google Analytics only if you select “Allow analytics” in the privacy choices shown on the website. Before consent, analytics storage is denied and the Google Analytics library is not loaded. If you consent, Google Analytics may set cookies and collect information such as pages viewed, approximate location, device or browser details and interactions with contact links. Jenergie uses this information to understand how the website is used and improve it. You can change your choice at any time through the Cookie settings link in the footer. Selecting “Necessary only” removes the Jenergie analytics cookies that the site can access.

Use, sharing and retention

Contact information is used to respond to you, arrange or manage services, maintain necessary business records and meet legal obligations. Website analytics is used only with consent. Information is not sold. It may be handled by service providers where needed to operate communications, analytics or website hosting, including Google Analytics when you consent. General enquiries that do not lead to an appointment are normally deleted within 12 months of the last meaningful contact. If an enquiry leads to treatment or another service, relevant information becomes part of the corresponding client or business record and is kept for the period explained in this notice or required for insurance, tax or legal purposes. Jenergie's policy is to retain event-level Google Analytics data for no longer than 14 months. Aggregated reports may be retained for longer because they do not directly identify individual visitors.

Your data protection rights

Depending on the circumstances, you may ask for access to your personal information, ask for inaccurate information to be corrected, request deletion or restriction, object to certain uses, withdraw consent or ask for information in a portable format. Withdrawing analytics consent does not affect processing that took place before withdrawal. Contact Jenergie first so the request can be considered. You can also raise a concern with the UK Information Commissioner’s Office through ico.org.uk.

External links and updates

Fresha's privacy policy, Proton Drive's privacy information and Google's privacy policy explain how those providers handle information. Other external websites may have their own privacy terms. This notice may be updated if the website, a provider or the way Jenergie handles information changes. The latest version will remain available at this address with its update date shown above.
